"We evaluated three event firms before choosing Prime Event Vision. The difference was their willingness to map every detail against our actual needs, not just sell us a package."— Director of Operations, Hartwell & Crane Ltd, Manchester
Most event companies present identical-looking packages. Below, we break down three genuinely different planning models so you can make an informed choice — whether you hire us or not.
| Criteria | Full-Service Coordination | Guided Self-Planning | Day-Of Management |
|---|---|---|---|
| Best For | Corporate launches, galas, multi-day conferences | Couples or teams who want creative control with expert backup | Those who've planned everything but need execution assurance |
| Your Time Commitment | Minimal — 2–3 check-ins per month | Moderate — weekly collaboration sessions | High — you do all pre-work |
| Vendor Sourcing | We handle all sourcing, vetting, and contracts | We provide curated shortlists; you choose | You source; we confirm logistics |
| Budget Management | Full tracking, negotiation, and reconciliation | Template-based tracking with our oversight | Not included |
| Design & Theming | Bespoke mood boards, décor direction, styling | Mood board consultation; you execute | We follow your existing plan |
| On-Site Team | Lead coordinator + 2–4 assistants | Lead coordinator + 1 assistant | Lead coordinator only |
| Post-Event | Vendor settlement, feedback report, photo coordination | Summary debrief | Venue walkthrough only |
| Typical Lead Time | 6–14 months | 3–8 months | 4–8 weeks |
| Investment Range | £4,800 – £18,000+ | £2,200 – £6,500 | £950 – £2,400 |
The right model depends on three factors: how much time you can invest, how much creative control you want to retain, and the complexity of your event. A 200-guest corporate product launch has fundamentally different coordination needs than a 60-guest garden wedding.
We deliberately price each model to reflect actual labour hours — not inflated "premium" markups. If Guided Self-Planning covers your needs, we'll recommend it over Full-Service, even though the latter generates more revenue for us.
Honest note: Roughly 30% of our initial Full-Service enquiries end up choosing Guided Self-Planning after our discovery call. We consider that a success, not a lost sale.
Rachel Whitmore, Lead Coordinator
In our last 18 completed events, clients reported an average of 11 fewer vendor-related issues on the day compared to their previous self-managed events. The most common feedback: "I actually enjoyed my own event."
Start Your Free Assessment →Annual awards dinner for 340 attendees at a Grade II listed venue. Full-Service model. 14 vendors coordinated. Zero timeline deviations.
A milestone birthday across two days — intimate dinner followed by a marquee reception. Guided Self-Planning model. The client designed the décor concept; we managed logistics, catering coordination, and live entertainment booking. Guest count: 85. Client prep time: roughly 6 hours total across 4 months, with our templates handling the rest.
"I thought I'd be stressed. I wasn't. That's the whole review." — Host
Fundraiser with auction, live band, and seated dinner. Full-Service. Raised £42,000 above target. Post-event vendor settlement completed within 9 days.
| Question | Full-Service Signal | Guided Signal | Day-Of Signal |
|---|---|---|---|
| Have you chosen a venue? | No | Shortlisted | Booked |
| Do you have a vendor network? | No | Some contacts | All confirmed |
| Is your budget defined? | Rough range | Defined | Finalised |
| Do you have a timeline/run sheet? | No | Draft | Complete |
| Guest count confirmed? | Estimated | Close to final | Final |
| Design direction decided? | Open / need help | Concept in mind | Fully specified |
If most of your answers fall in one column, that model is likely your best starting point. Mixed answers? That's normal — our discovery call sorts it out in about 25 minutes.
"The comparison table on this very site helped us realise we didn't need full-service. They recommended the guided model and saved us roughly £3,000. Refreshingly honest."
— T. Harding, Wedding, Oxfordshire
"Our conference had 14 breakout sessions, 3 keynotes, and a networking dinner. Prime Event Vision ran it like clockwork. The post-event report was more thorough than our own internal reviews."
— J. Okonkwo, Head of Events, Silverlake Group
"Day-of management only. They arrived at 7am, took charge, and I didn't have to solve a single problem. Worth every penny of the £1,400."
